About the UFS (University of the Free State) Internship 2025
UFS (University of the Free State) is currently offering an internship programme for candidates who would like to obtain practical work exposure as a Receptionist. The UFS (University of the Free State) Internship entails a variety of reception duties aimed at ensuring a seamless experience for guests. Interns will be responsible for accurately and promptly completing all guest reports, dockets, and correspondence, which is vital for maintaining professional standards. Managing reservations efficiently is a core duty, alongside strictly adhering to check-in and check-out procedures. Interns will need to report any maintenance faults promptly and work closely with the housekeeping team to coordinate guest arrivals and departures. Additionally, it is essential to ensure that all daily takings are accurate, balanced, and banked according to established policies. Interns must also ensure that all charges are entered correctly on the Guest’s Folio, with a balanced float, cash, and credit takings at the end of each shift, accompanied by a completed cashier report. Responsibilities also include handling conference inquiries and performing any other tasks assigned to facilitate the smooth operation of the front desk. Interns must be flexible and willing to work assigned shifts and weekends, as well as assist with breakfast and other functions as needed.
In addition to reception duties, interns will also engage in various administrative tasks to support the overall operations of the front desk. This includes ensuring that all requests received via email, phone, or in-person are addressed promptly and efficiently. Interns will book catering orders and conference venues as per client requests, verifying the accuracy of information provided by clients. It’s crucial to communicate all relevant function details to stakeholders by Wednesdays, liaising with the kitchen regarding functions and stock, as well as coordinating logistics with operations. Interns will also be responsible for reporting any issues that may arise, such as incorrect orders, late deliveries, or special dietary requirements, ensuring charges are entered accurately on the Client’s Folio. Additional administrative duties involve reconciling payments by checking transaction lists, following up on outstanding invoices, obtaining quotes from vendors for clients, and assisting with functions as needed.
