The SABN (South African Bank Note) Receptionist position involves overseeing the switchboard and front desk operations while delivering essential administrative assistance to the Protective Services Department. This role plays a key part in ensuring smooth communication flow, maintaining a welcoming reception environment, and supporting the department’s daily administrative functions.
You will be required to perform the duties below:
- Receive and redirect incoming telephone calls; take messages when necessary
- Make official outgoing calls upon request
- Welcome visitors and guide them to the appropriate person or department
- Arrange refreshments for guests and maintain cleanliness and order in the reception area and its surroundings
- Manage the distribution and return of visitor safety equipment and ensure visitors complete their SHE induction
- Establish and follow a visitor management procedure; coordinate with security to ensure part one forms are submitted and that prohibited items such as money, cell phones, and cameras are not brought on site
- Upload relevant information onto the intranet as required
- Serve as the intranet champion by assisting employees with their intranet-related questions and issues
- Monitor and respond promptly to Communications Unit emails
- Support the distribution of internal communications throughout the factory
- Help with organizing and managing general notices and corporate announcements
- Maintain the suggestion box and follow up on all received suggestions to ensure proper feedback is provided
General Duties as Receptionist
- Greet and direct visitors by welcoming them warmly and guiding them to the appropriate offices to ensure a smooth arrival experience
- Provide accurate information by answering general inquiries about the company, its services, and how to find specific departments
- Maintain a professional and welcoming environment by keeping the reception area clean, organized, and inviting
- Answer and forward phone calls by handling incoming calls, taking clear messages, and directing calls to the right personnel
- Schedule appointments by managing calendars and coordinating meeting times efficiently
- Handle mail and deliveries by receiving, sorting, and distributing mail and packages promptly
- Perform basic administrative tasks such as filing documents, making photo`copies, and handling other clerical duties as required.
