You will be required to perform the duties below:
- Greet and assist visitors, clients, and job candidates in a courteous and professional manner, ensuring a positive first impression
- Answer incoming telephone calls promptly, screen inquiries where necessary, and redirect calls to the appropriate departments or personnel
- Keep the reception area clean, tidy, and well organised at all times to maintain a professional office environment
- Receive, record, and coordinate incoming and outgoing deliveries efficiently and accurately
- Provide general administrative and operational support to staff and management as required to support daily office activities
- Maintain organised and up-to-date filing systems and office records, ensuring documents are easily accessible and properly stored
- Prepare routine documents and provide support for general office operations to ensure smooth daily workflows
- Assist with posting job vacancies on suitable platforms to attract qualified candidates
- Review and screen CVs, and compile shortlists of candidates who meet the required criteria
- Schedule, coordinate, and confirm interviews with candidates and relevant stakeholders
- Conduct reference checks and follow up with applicants to support the recruitment process
- Keep accurate and current recruitment records and generate reports as required
- Support the onboarding process for new hires, ensuring all necessary documentation and procedures are completed efficiently
General Responsibilities as Office Reception
- Greet visitors in a professional and friendly manner and direct them to the appropriate departments or personnel
- Answer, screen, and forward incoming phone calls promptly and accurately
- Manage the reception area to ensure it is clean, organized, and presentable at all times
- Handle incoming and outgoing mail, packages, and courier services
- Schedule and manage appointments, meetings, and room bookings as required
- Maintain accurate records, files, and databases, both physical and electronic
- Assist with basic administrative tasks such as data entry, photocopying, scanning, and filing
- Provide information to clients, visitors, and staff while maintaining confidentiality
- Coordinate with internal departments to ensure smooth daily office operations
- Monitor office supplies and place orders when stock levels are low
- Ensure adherence to company policies, procedures, and health and safety regulations
- Support management and staff with additional administrative duties as assigned
