Bidvest International Logistics is seeking an Operations Admin Clerk for a job vacancy to assist with the administrative functions at one of its operational facilities in Alrode. The ideal candidate will possess a keen attention to detail, strong administrative skills, and a proactive attitude. Additionally, the successful applicant should have prior experience in both administrative and operational roles within the transport industry. This role requires someone who is dedicated, efficient, and capable of supporting the seamless operation of the facility through meticulous administrative support.
You will also be required to perform the duties below:
- Record data into TMS
- Enter load confirmation details on the appropriate waybills
- Attach all client-required documents to each shipment’s invoice
- Help Finance staff resolve any invoice queries and address issues where possible
- File all documents related to completed shipments
- Compile information and data for reporting purposes
- Accurately capture and submit casual labor time sheets to the Ops Admin Controller
- Enter all waybills into TMS and update the delivery status
- Build and maintain professional, cordial relationships with clients and suppliers
- Achieve performance standards by effectively performing job duties and tasks
- Contribute to the Health and Safety program by performing all relevant tasks
- Raise action requests and follow preventive measures
- Fulfill the administrative requirements of various BIL Transport Departments according to company policies and procedures
- Accurately capture waybills into TMS
- Assist with general administrative duties as requested by a superior
- Ensure daily capture of TMS waybills
- Ensure all PODs are returned, updated in TMS, and scanned to Edocs.

General Duties as Operations Admin Clerk
- Handle and organize various documents including waybills, proof of delivery (PODs), and other administrative paperwork
- Assist in processing and tracking orders, ensuring accuracy and timely delivery
- Communicate and coordinate with internal teams, suppliers, and clients to ensure smooth operations
- Keep accurate records of transactions, inventory, and other operational data
